Procedures for table of contents (505) and summary notes (520)

TABLE OF CONTENTS

Purposes :

Provide key words often not found in the established subject headings

Provide detailed information to the patron on the content of the material.

Unfortunately they can be time consuming and tedious to enter.

 

The Table of contents

SUL policy is that if the table of contents adds SIGNIFICANTLY to the quality of the record i.e. if the chapters/sections contain words which would be helpful when searching that don’t exist elsewhere in the record, then it should be added. Consider entering a table of contents if the chapters have separate authors that might need to be searchable. Catalogers should use judgment, although the 505 is always required for musical sound recordings.

 

The structure of the 505

A contents note usually contains titles of separate works, or parts of an item, and may include statements of responsibility associated with works or parts. Volume numbers and other sequential designations are also included in a contents note, but chapter numbers are generally omitted.

The first indicator 0 indicates a contents note that represents the complete contents of the item.

The first indictor 1, incomplete contents, indicates that a note is incomplete because not all of a multipart item are available for analysis, either because they have not been published or because they have not been acquired.

The second indicator specifies the level of content designation that has been provided for the data. Blank indicates that all information is recorded in a single |a. The second indicator 0 specifies that enhanced content designation is supplied for the parts detailed in the contents note. Data is encoded with repetition of subfields, usually |t, |r and |g.

|t Subfield t contains a title used in the coding-enhanced contents note

|r contains a statement of responsibility of the article or part in the coding enhanced contents note. The author may be a personal or corporate name.

|g contains any information other than the statement of responsibility or title, used in a coding-enhanced note. It may include volume, part, page numbering, or timing information.

In the 505 a space hyphen hyphen space ( -- ) is recorded between each item in a contents note. Statements of responsibility are preceded by a space slash space.

 

520 Summary, etc.

This field contains unformatted information that describes the scope and general contents of the described materials. This could be a summary, abstract, annotation, review or only a phrase describing the material. The level of detail appropriate in a summary may vary depending on the audience for a particular item. The description should be fact based and should not contain biased information.

All formats of material may have a 520. They are often found in video records. The summaries should be free of hype, advertising, time sensitive information and contain keywords that would help a user.

The 520 is required for all database records.
