Procedures

The first step in cataloging an item with accompanying material is to decide what accompanies what. The most common scenario is the primary print is accompanied by some other format. These instructions assume the print is primary. It is the goal of Syracuse University Library to keep accompanying material with the primary material when possible. The following accompanying formats will be shelved with the primary material: CD-ROMs, maps, spoken sound compact discs, microfiche, slides, the following accompanying formats will be housed separately for preservation reasons: Video cassettes, audio cassettes,and floppy discs. Bibliographic Record

The catalog record cataloging should include the following:* description of accompanying material in subfield e of the 300 field. e.g. 300 : : 297 p. : |b ill. ; |c 24 cm. + |e 3 maps + |e 1 compact disc + guide + |e 1 compact disc e.g. 300 : : 297 p. : |b ill. ; |c 24 cm. + |e 1 floppy disk + |e 1 floppy disk (5 1/4 in.) + guide + |e 1 CD-ROM + |e 2 floppy disks (3 1/2-5 1/4 in.)

  • The 006 should be coded to reflect the physical aspects of the accompanying material.* The 538 System Requirements Field: includes the note if the information is readily available and requires equipment/software out of the ordinary.

WHEN THE PAPER IS PRIMARY, BUT MATERIAL WILL BE SEPARATED, BUT ISN"T MUSIC

   When the primary material and the material will not be housed together. (i.e. accompanying material is a floppy disc, sound cassette, or videocassette )  

 

Bibliographic record should have 006, 538 and 300 |e (see above)

 

MARC Holdings Record

       * Code the record as a multipart item  
       * Create an MHLD record indicating we hold the text and the accompanying material

For clarity, it may be appropriate to have multiple 866 fields to reflect the different kinds of disks that accompany the text:

HOLDINGS RECORD

MFHD should have an 866 line for the text and the accompanying material (see above).

 

ITEM RECORD

  • The piece count will include the text and the accompanying material.
  • The item type is monograph
  • Include the accompanying material sticker.

ITEM RECORDS

Make multiple item records. Item type should be appropriate for the material’s format. The call number should match the books. Add as a suffix the format of the material eg. Video or sound cassette.

WRITE ON THE TRANSMITTAL SLIP THE LOCATION FOR THE NON-TEXT FORMAT.

Floppy disks – Media

Sound cassettes – Media

Videocassettes – Media.

 

Statistics

  • Stat the number of volumes and titles as usual. Stat the Accompanying material as added piece in the appropriate format .

When Paper is Primary and Accompanying material is Music CD

Catalog the material on one bib record. Be sure that 006 for accompanying material is correct.

Text gets LC call number.

CD gets an accession number.

Add a local note in the bib record: "CD shelved separately: COMPACT DISC [xxxxx] (ask at 3rd floor desk)."

Put the accompanying CD in a jewel case.

Put an "Accompanying material" label near barcode.

Put on end processing cart. CD accession number label will be added, plus sticker for disc.

MFHDS

Create two mfhds- one for text and one for the CD located in fa,sr (unless other instructions are given by selector)

ITEM RECORDS

Each piece gets a barcode and item record.

The text and discs go on book truck for end processing.

STATISTICS

Count one print new title and one piece sound.

 

 

 

 

 

WHEN MUSIC CD IS PRIMARY AND PAPER IS SECONDARY AND DIFFERENT SIZE

When you have a musical compact disc (single or set) and it has accompanying booklet, catalog the disc (or set) following normal procedures. The booklet should be in a subfield e in the 300 field of the bib. record. Attach accompanying material label with the cd accession number to the text.

MFHDs

There will be two mfhds (holdings records) one for disc, one for text.

The compact disc (set) is located in fa,sr. The booklet is located in fa,desk.

ITEM RECORDS

Each disc gets a barcode and item record. Item type is sound recording.

Booklet gets an item record. Item type is monograph.
