Course Evaluation (Feedback) Process
Overview
Students submit course evaluations at the end of the semester for the courses they've been taking, evaluating the professor and/or TAs. Below are the steps necessary to make sure this process is successful and includes the steps required to obtain the course evaluations, once completed.
Beginning of the Semester:
- You will receive an email from the Institutional Effectiveness & Assessment Department (IEA) at the beginning of each new semester requesting you to confirm information regarding the current semester courses in the course feedback system. (Attachment I)
- In the email, IEA provides you with a checklist of the items to review. (Attachment II) The items include checking the names of instructors and TAs for each course, adding, or deleting courses, assigning specific evaluation forms for each course, and determining which course evaluations can be merged into one parent course. All changes are to be made in a single word document.
- To review the courses for the semester, go to coursefeedback.syr.edu and login.
- Click on the down arrow next to “Student/Respondent” and hit “Administrator.”
- On the left side of the screen, under “Manage Courses,” click on the name of the semester you are to review for IEA.
- Now go to “Projects” and click on the magnifying glass appearing under the “View” column. The list of courses to be reviewed will appear.
- To check if the correct instructor is associated with a course, click on the number listed under the “Instructors” column for a course. A screen will appear with the name of the instructor. If the name is incorrect, check the box on the left side of the name and click on “Unenroll Selected Instructors” located in the upper left side of the screen. The instructor will be removed. However, you will need to indicate on your word document the correct name of the instructor for the course under the heading “Addition/Deletion of Instructor/TA.” Be sure to include the “Course Title” and “Course ID Number” (5 digits) along with the instructor’s name. The same process is followed for the correct TA associated with a course except that you click on the number listed under the “Teaching Assistant” column for a course instead. Please note that for lab courses, only the instructor should be listed for the lecture component and only the TA should be listed for the lab component.
- Compare the listings with those in the course feedback system with what is listed here. Any course listed in the course feedback system that has been cancelled must be indicated in your email to paschnob@syr.edu with “Removal of Courses.” Be sure to include the “Course Title” and “Course ID Number” (5 digits). Any course that is not listed in the course feedback system but appears on the Physics course listings, must be added on your email to paschnob@syr.edu with “Addition of Courses.” Be sure to include the course title, Course ID# (from MySlice), name of the instructor and/or TAs.
At the end of the semester:
- IEA sends emails to students two weeks prior to the first day of finals instructing them to complete evaluation forms (course feedback forms) for each of their courses. They receive a reminder email every 3 days. (Attachment IV) A list of dates can be found here: https://effectiveness.syr.edu/course-feedback/important-dates/
- IEA sends emails to instructors two weeks prior to the first day of finals informing them that the course feedback system is open. They receive a reminder email every 5 days. (Attachment V)
- You are to send an email out over the undergraduate listserv reminding students to complete the course feedback forms for their Physics courses. They can access them via Blackboard or logging into coursefeedback.syr.edu with their netID and password.
- You are to have the DUG send an email to faculty and TAs notifying them of the start of the course feedback process and encouraging them to provide students with 10 minutes at the beginning of their class to complete their course feedback form.
- During the two-week period, you are to monitor the response rates for each class. This can be done by logging into coursefeedback.syr.edu. Click on the down arrow next to “Student/Respondent” and hit “Administrator.” On the left side of the screen, under “Response Rate Tracker,” click on the name of the semester you wish to review. Under “Response Rates,” click on “Physics.” A list of courses will appear indicating their current response rate for students completing their course evaluations.
After the University Grade Deadline:
- Ten days after the University grade deadline, IEA will send an email to instructors/TAs informing them how to access their course feedback reports. (Attachment VI.docx )
- Ten days after the University deadline, IEA will send an email informing you how to access the feedback reports. (Attachment VII)
- When downloading the reports, transfer them to the the Teams Instructor's folder in "Teaching Evaluations" Faculty CV Updates
