Account Setup: Career Staff

Setting up Student Account

Career Staff may want a student account to be able to test or have a complete student experience. The instructions below guide you through the process of setting up a student account that links with a career staff account.
  1. Navigate to Students – Manage

  2. Select New Student



  3. Enter email address for both the email address field and the username field

  4. Enter First name and Last name.

  5. Be sure the box is checked to Exclude From Automatic Syncs
  6. Select Create User



  7. The user will receive an email confirmation and request to set their password. Be sure the user uses the same login credentials as their Career Staff account so the accounts will link and the user will be able to use the User Switcher.

  8. On the user profile, add the label admin - career staff student account

As needed, you may need to build or update your profile to reflect your current or new office location.

Update your Notification Settings

This is a global setting which is set for all users by default. The solution to prevent these notifications this is to change your notification preferences. (See attached, as needed)

  1. Navigate to your name in the upper right
  2. Select “user settings”
  3. Select “Notification Preferences”
  4. Navigate to “Interview Schedules”
  5. Locate the preference that says, “a student requests to swap interview schedule slots” and remove notifications by deselecting the check marks

Customizing your Handshake Account to your Scope

Default Search Filters

Handshake has quite a few areas that can have default search filters so that whenever you explore Handshake as a Career Services practitioner, you are seeing the content relevant to your scope. For example, as you explore Handshake, if you are associated with a specific School or College, you might want to only see Appointments, Jobs, Events (and more) that are only relevant to the industries, majors, major groups, or Staff of your School or College.

The following areas can have default search filters (expand each category to see examples):

 1. Students

Manage (jump here to for a walk through)

  • Examples:
    1. An Undergraduate Career Services office may have the following search filters:
      1. School Year = Freshman, Sophomore, Junior, Senior
      2. label = [ school or college label ]
      3. Not Labels = alumni
      4. Other = Is Activated
    2. An Undergraduate Career Services that utilizes the Assigned To field for their students may have the following search filters:
      1. School Year = Freshman, Sophomore, Junior, Senior
      2. label = [ school or college label ]
      3. Not Labels = alumni
      4. Assigned To = [ Career Advisor Name ]
      5. Other = Is Activated

  • Example:
    1. An Undergraduate Career Services office may have the following search filters:
      1. First, click view of choice (e.g.: Pending)
      2. Template = [ Template(s) names associated with your office or templates within your scope ]

      1. Author = [ Author Name ]
        1. Be advised, some of the Handshake Resources that are for the University are posted as Anonymous and will not show up if you add a specific author name.

    1. An Undergraduate Career Services office wants to see all related employer events at SU may have the following search filters:
      1. Employer Host Industry = [ Industries related to your particular School or College ]
    2. An Undergraduate Career Services office wants to see only events hosted by your office may have the following search filters:
      1. Career Center = [ School or College Career Center ] OR Labels [ School or College Office Event Label ]

    1. An Undergraduate Career Services Advisor wants to see only their appointments may have the following search filters:
      1. Staff Member = [ Career Advisor Name ]
    2. An Undergraduate Career Services Advisor or Director wants to see all office appointments may have the following search filters:
      1. Staff Member = [ Career Advisor Name 1, Career Advisor Name 2, etc. ]

  • Example:
    1. An Undergraduate Career Services office at a particular School or College wants to see all related pending jobs may have the following search filters:
      1. First, click view of choice (e.g.: Pending)
      2. Salary Type = Paid
      3. Employer Industry = [ Industries related to your particular School or College ]
      4. School Year = Freshman, Sophomore, Junior, Senior
      5. Other = Exclude Posted to All Majors

      1. Labels = [ School or College contacts label, e.g.: ecs - contact ]
    2. An Undergraduate Career Services office at a particular School or College wants to see all related employer contacts, but only those who are also recruiters may have the following search filters:
      1. Labels = [ School or College contacts label, e.g.: ecs - contact ] + [ School or College recruiter label, e.g.: ecs - recruiter ]

  • Examples:
    1. An Undergraduate Career Services office at a particular School or College wants to see only their favorite reports may have the following search filters:
      1. Show favorites only is checked
    2. An Undergraduate Career Services Advisor at a particular School or College wants to see only reported related to Students may have the following search filters:
      1. Report Type = Students


It is highly recommended to explore these areas of Handshake as soon as possible and spend some time adding in filters relevant to your School, College, Unit, or scope.
