Managing Junk Email Filters in Outlook or SUMail

No one likes spam or junk email.

The Outlook Junk Email Filter doesn’t stop delivery of junk email messages, but does the next best thing—it moves suspected spam to the Junk Email folder. Outlook's Junk Filtering system works with all SUMail accounts and can sometimes cause unintended emails to appear in the Junk Filter.

The steps below will show you how you can tailor your Junk Email Filter to work the best for you.  The instructions differ slightly between the Outlook application on your computer and SUMail on the web (also known as Outlook Web Access/OWA), so both instructions are included below.

What's phishing?

Phishing is the practice of luring you into disclosing personal information, such as bank account numbers and passwords. Often phishing messages look legitimate, but have deceptive links that actually open fake websites. If you select Phishing, a copy of your message may be sent to Microsoft to help update our filters get better.

Report junk and phishing messages

For the Outlook application on your Computer

  1. Select the junk, phishing, or spam email to highlight it. Select the Report Message icon  (as shown by red arrow below) with the drop down arrow in the toolbar at the top of the Outlook ribbon.

  2. You will be presented with two options; Junk and Phishing.

  3. If you mark an email as Junk or Phishing, the email will automatically be moved to the Junk Email folder in Outlook after a few moments.

For SUMail on the web (OWA)

  1. Select the junk, phishing, or spam email to highlight it. Select the  Report icon  (as shown by red arrow below) with the drop down arrow in the toolbar at the top of the Outlook on the web page.

  2. You will be presented with two options. Report phishing and Report junk.

  3. If you mark an email as Junk or Phishing, the email will automatically be moved to the Junk Email folder in Outlook after a few moments.

Junk mail settings

The Junk Email Filter automatically evaluates each incoming message based on several factors. These can include the time when the message was sent and the content of the message.

To change the options for the Junk Email Filter:

For the Outlook Application on your computer

  • From within Outlook, select the Home tab.

  • Select the Junk drop down from the Delete section.  

  • Select Junk E-mail Options. Here, you will find the safe senders, blocked senders, and other junk email settings

For SUMail on the web (OWA)

  • Click on the gear icon on the top-right.

  • Go to Mail > Junk email. Here, you will find the safe senders, blocked senders, and other junk email settings

To mark an email message as Not junk after it goes to Junk Email

For the Outlook Application on your computer

  1. From within Outlook, select the Home tab.

  2. Got to your Junk Email folder and select the message you want to keep.

  3. Right click on that message, click Junk, then click Not Junk.

For SUMail on the web (OWA)

  1. Open your Junk Email folder and select the messages you want to keep.

  2. From the top toolbar, select Report > Not junk. You can also open the message and select the It's not junk link at the top.

If you blocked an email address by mistake

For the Outlook Application on your computer

  • From within Outlook, select the Home tab.

  • Select the Junk drop down from the Delete section.

  • Select Junk E-mail Options

  • Find the blocked senders tab and review the list. You can Add, Edit, or Remove email addresses from the list here.

  • Likewise you can Add, Edit, or Remove email addresses from theSafe Senders tab also.

For SUMail on the web (OWA)

  1. Click on the gear icon on the top-right.

  2. Go to Mail > Junk email

  3. Review your Blocked senders list and select the trash can next to their name.

  4. Add the sender to your Safe senders list.
