Overview
Personal Spaces were an area in which users had access to their own area within Answers. This functionality is scheduled to be disabled in the coming months to streamline the platform and prepare for an exciting new future in Confluence Cloud. This only applies to personal spaces, as site spaces will still continue to exist.
For personal spaces that currently exist, there are few methods outlined below for exporting the content within your personal space.
The below methods are provided for exporting content from your personal space, however we do not support importing into another application.
Exporting Entire Space
1. Accessing the Space
- Log into Answers.
- Navigate to the personal space you want to export.
- Click on 'Space Tools' at the bottom of the sidebar.
- Select 'Content Tools' from the dropdown menu.
2. Initiating the Export
- In the 'Content Tools' section, click on the 'Export' tab.
- You will see options for 'HTML', 'XML', and 'PDF' export formats.
- HTML Export: Exports the space as a zip file containing HTML files. Best for readability and sharing.
- XML Export: Exports the space in an XML format. Ideal for importing into another Confluence instance.
- PDF Export: Exports the space as a PDF document.
3. Choosing Export Options
- Select the desired export format (HTML, XML, or PDF).
- For XML and HTML exports, you can choose to include or exclude comments and attachments.
- For PDF exports, configure any additional settings such as layout, cover page, and table of contents as needed.
4. Executing the Export
- Click the 'Export' button corresponding to your chosen format.
- The export process will begin. For larger spaces, this may take some time.
- Once the export is complete, a link to download the exported file will appear. Click on this link to download the file.
5. Handling the Exported Data
- For HTML or XML: The downloaded file will be a .zip archive. Extract this archive to access the exported content.
- For PDF: The downloaded file will be a .pdf document, which can be opened with any standard PDF reader.
Exporting Single Page
1. Accessing the Page
- Log into Answers.
- Navigate to the page in the personal space you want to export.
2. Starting the Export Process
- On the page, locate the three dots ('...') menu in the top-right corner next to the page title.
- Click on this menu to open a list of options.
3. Selecting the Export Format
- In the dropdown menu, select 'Export to PDF' or 'Export to Word'.
- Export to PDF: This option exports the page as a PDF file. It is suitable for a print-ready format or for sharing as a document.
- Export to Word: This option exports the page as a Word document (.docx). It is useful if you need to edit the content after exporting.
4. Configuring Export Settings (Optional)
- For PDF exports, Confluence will generate the PDF using the current page layout and formatting.
- For Word exports, the page content will be formatted as per the Word document standards.
5. Completing the Export
- Once you select the desired export format, Confluence will prepare the file.
- A download prompt will appear when the file is ready. Click 'Download' to save the file to your computer.
6. Handling the Exported File
- The exported file will be in the format you selected (PDF or Word).
- Open the file using a compatible program (e.g., Adobe Reader for PDF, Microsoft Word for Word documents).
Exporting Space Attachments
Currently, Confluence does not provide a direct feature to bulk download all attachments from a space. You will need to manually download attachments or use a workaround. The method noted below outlines the manual method.
1. Access the Desired Space
- Log into Answers.
- Navigate to your personal space from which you want to export attachments.
2. Access Space Tools
- Click on 'Space Tools' at the bottom of the sidebar.
- Select 'Content Tools' from the dropdown menu.
3. Navigate to Attachments
- Within 'Content Tools', find and click on the 'Attachments' tab.
- This tab displays all attachments in the space, categorized by page.
4. Export Attachments
- Click on each attachment to open it.
- Use the download option provided in the attachment view to save the file to your computer.
- Repeat for each attachment you wish to download.
5. Organizing Downloaded Attachments
- Once downloaded, organize the attachments in folders on your computer or network drive for easy access and reference.
- Ensure the security of sensitive or confidential attachments.
