πŸ“˜ What is a supersedes letter?

A supersedes letter replaces a PTI offer letter that has already been approved and sent. You need one any time information on an already-issued letter needs to change, rather than editing a record before its first letter has gone out.

Common triggers:

  • A change to an already-approved letter – the rate, dates, term, duties, or other appointment details changed after the original letter was sent (for example, a rate correction, an extended appointment, added duties, or a cancelled class).

  • Correcting an error found after the letter went out – something on the original letter was wrong (a typo, an incorrect course description, a miscalculated Appt Comp) and needs to be fixed in writing.

In either case, do not simply edit the appointment line and walk away – the instructor already has a signed letter reflecting the old information. The supersedes letter is what formally replaces it.

πŸ“˜ Requesting a supersedes letter

  1. Make your corrections on the appropriate tab (Letter Details, Appointment Details, Additional Duties, Letter Messages, or 2U) in the PTI Database, just as you would for a new letter.

    If the reason is Classes Cancelled: zero out the compensation on that course’s row on the Appointment Details tab, and add "[CANCELLED]" to the end of the course title. For example:

    Note: Classes Cancelled is the one reason HR processes automatically in the HR system, without waiting for the instructor to accept the change. Get the record right before submitting – there is no separate acceptance step to catch errors on this one.

  2. On the Letter Request tab, fill in:

    • Approver NetID

    • Approval Date – the date you plan to request the batch from HROffers

    • Approved for Letter – must be checked

    • Enter the date the original letter was created

    • Check the Supersedes Needed box

    • Enter the date the supersedes letter will be requested

    • Select the supersedes reason from the dropdown:

      • Classes Cancelled

      • Classes Added

      • Chg in Credit Hours

      • Chg in Credit Rate

      • Chg in Duties

      • Chg in Course Dates

      • Data Entry Error

πŸ“˜ Emailing HR Shared Services

Once your supersedes letter is ready to be generated, email hroffers@syr.edu:

  • Subject line: your school/college name and that you want letters created (for example, "Letters Ready for Engineering")

  • State the approval date for the batch you want generated

  • Explicitly note that the batch includes supersedes letters – HR needs to know this to process it correctly

  • If you’re also requesting 2U courses in the same batch, include that as well
