What options are available to student organizations/clubs that want to send mass email to their members or constituents

SUMail is an option for organizations, clubs and groups that want to email their members or constituents when the targeted audience is small. However, there are limits to the number of recipients you can send to in SUMail. If you are receiving an error when sending to many recipients in SUMail, you may be exceeding that limit. For cases where you want to email larger numbers of recipients, we recommend you look at either Microsoft 365 groups or Listserv Lists (see documentation below).

What options are available to organizations and groups that want an email address that ends in syr.edu?

Technical Services can't create individual generic email accounts for student organizations and sports clubs but students have the ability to create an email address themselves! There are two options for student groups, clubs and Greek organizations that want to have an email account to use for their organization. If a student organization finds it necessary to have an e-mail account affiliated with its corresponding web site, or just want an email address for general correspondence, they can:

Use Microsoft 365 Groups

Organizations can create a group in SUMail (the student email system in the Office365 Microsoft365 environment) and add organization org members to it. Groups created in the Office365 Microsoft365 environment will have an associated @groups.syr.edu email address. For example, if you create a group in SUMail called sailingclub, it will have an email address of sailingclub@groups.syr.edu. Emails sent to that address will be directed to all members of the SUMail group. To create a group, organizations can follow these steps:

  1. Have an officer in the student organization log into their SUMail account via a web browser.

  2. At the very bottom of the student's mail folders, there should be a Groups folder that when expanded shows a link that reads "New Group". Click that link.

  3. In the "New Group" dialog box, enter a name and description for the new group. Keep the Privacy setting set to "Private" so only organization or club members can see emails sent to the group.

  4. Click the "Create" button to create the group. The creator of the group can then

  • add other organization members

  • set owners of the group

  • invite others to join the group

  • specify whether someone outside the group can email it

  • control whether members receive all email communications to the group email.

Use Listserv Lists

Listserv lists are another way to for student organizations to create a mail address for group use. They work similarly to Microsoft 365 groups but listserv lists are maintained on a server on campus. In this case, creating a listserv list will create an email address that ends in @listserv.syr.edu (e.g. sailingclub@listserv.syr.edu).
