Approve Working Hours and Time Off as an Administrator

Purpose

To approve the working hours and time off as an administrator for a department

Start

Do this task when you have time for an employee in your department waiting to be approved.

This How-To Guide is organized into the following procedures:

A. Go to the Time and Labor WorkCenter

  1. Log into your MySlice home page.

2. Click Human Resources and Payroll Services.

3. Make sure you are at the Departmental Administrator home page.

B. Search for the Employee or Employees

To find the time you want to approve:

  1. Click the Approve Payable Time tab.
  2. Click the arrow next to the Employee Selection section.
  3. Do you want to search for specific people or groups of people?
    • No: Click Clear Criteria.
    • Yes: Start typing what you want to search for in one of the criteria boxes and then pick it from the list that opens as you type.

Example: To see the timesheets for a department, start typing the department number in the Department box and then pick the number from the list that opens as you type.

4. Enter the date range for the timesheets you want to see or use the calendar buttons to select dates.

Example: Suppose you want to see timesheets for the pay period Thursday, May 24 to, Wednesday May 30. In that case, enter a Start Date of 05/24/2018 and an End Date of 05/30/2018.

5. Click the Refresh Summary Page button.

Important: If your search returns a large number of people, you may not see all of them at once. To see additional rows, go to the far right of your screen and use the left and right arrows to move forward and backward through the list.

Example: Search by Workgroup and Dates

Suppose you want to see the time waiting to be approved for any employees in the Public Safety Union workgroup for the pay period from June 7 to June 13. In that case:

  1. Expand the Employee Selection section and type the code for the Public Safety Union workgroup. You will notice that the page gives you a list of possible matches to choose from as you type.

2.  Enter the date range and then click the Refresh Summary Page button.

C. Approve Hours

To approve someone's hours:

  1. Click the last name of the person whose hours you want to approve.

Result: The page shows the details of the timesheet. To see the more of the timesheet, click the double left arrow in the upper left side of the page.

2. To add a MyCode or chartstring to the hours

a. Click Adjust Reported Time.

b. If the hours need a MyCode, enter it in the MyCode box.

c. If you need to override the chartstring for the hours, click ChartFields and enter the chartstring.

d. When you have entered the MyCode or chartstring, click Submit and then OK.

e. Click Return to Payable Time.

3. Do you want to approve all of the hours?

    • Yes: Click Select All.
    • No, just some of them: Select the check boxes for the hours you want to approve.

4. Click Approve.

5. To confirm that you are approving the hours, click Yes.

6. At the save confirmation, click OK.

7. Where do you want to go next?

    • Back to your search results: Click Return to Approval Summary.
    • Next timesheet: Click NextEmployee or Previous Employee.

8. Repeat the steps in this section for any other hours you want to approve.

D. Approve All Hours at One Time

To approve all the reported hours at one time:

  1. Click Select All at the bottom of the page.
  2. Click Approve.
  3. To confirm that you are approving the hours, click Yes.
  4. At the save confirmation, click OK.

E. Push Back Hours

To push back the hours someone reported so they can fix them:

  1. Click the last name of the person whose time you want to push back.

Result: The page shows the details of the timesheet. To see the more of the timesheet, click the doubleleft arrow in the upper left side of the page.

2. Click the Add Comments icon, type a comment that describes how to fix the timesheet, and then click OK.

3. Select the check box for the row.

4. Click Push Back.

5. To confirm the that you are pushing back the hours, click Yes.

6. At the save confirmation, click OK.

7. Where do you want to go next?

    • Back to your search results: Click Return to Approval Summary.
    • Next timesheet: Click NextEmployee or Previous Employee.

8. Repeat the steps in this section for any other hours you want to push back.

F. Check Your Work

You have successfully approved or pushed back the hours if:

  • The Time Summary tab no longer shows the hours you either approved or pushed back
